Our Process

Precision. Protection. Performance.

At Rilex Energy, we don’t believe in shortcuts — we believe in structure. In an industry flooded with fake offers, recycled paperwork, and time-wasters, our process is designed to protect every party involved while ensuring the smooth, secure, and timely execution of verified petroleum transactions.

Whether you’re a buyer, seller, mandate, or consultant, our process ensures you’re dealing only with serious, ready, and verified counterparts — nothing less.

🔹 Step 1: Intake & Initial Qualification

Every deal starts with a confidential intake process to determine your role (e.g., buyer, seller, titleholder, mandate, intermediary) and validate your position. During this phase, we gather essential documentation such as:

  • LOI/ICPO (Letter of Intent / Irrevocable Corporate Purchase Order)
  • KYC (Know Your Client) Documentation
  • Mandate Authorization or Seller Title Verification
  • Corporate Profile & Transaction Requirements

This ensures we’re not wasting time on non-serious parties, and that your intentions, capacity, and authority are clearly documented from the outset.

🔹 Step 2: Documentation Review & Compliance Screening

Once initial documentation is received, our internal compliance team reviews each file to screen for red flags, inconsistencies, or unverifiable claims. We only proceed with parties who can provide:

  • Clear proof of authority (e.g., mandate appointment letter or seller titleholder credentials)
  • Verified company registration and operational history
  • Financial capability (e.g., POF, bank comfort letter, or capability to issue SBLC/LC)
  • Proof of product or storage (e.g., tank receipt, injection report, refinery allocation)

We do not move forward until both sides pass our compliance threshold. This protects you — and the deal — from fraud, exposure, and delays.

🔹 Step 3: Matching & Strategic Alignment

Once all parties are verified, we assess compatibility between the buyer’s requirements and the seller’s capabilities. This includes:

  • Matching delivery terms (e.g., CIF, FOB, TTT, TTV)
  • Confirming available volumes and specs (e.g., EN590, Jet A1, D6, Crude)
  • Coordinating logistics timelines
  • Confirming lift location readiness, refinery or tank availability, and deal structure

Only when both sides are truly aligned — in capacity, timing, logistics, and documentation — do we proceed to the next phase.

🔹 Step 4: Communication Management & Deal Progression

We act as the central point of communication between all verified parties. Our team ensures that:

  • All communication flows through authorized channels
  • All documents are exchanged in the correct sequence
  • Any questions, objections, or technical issues are resolved quickly and professionally
  • Timelines are respected and delays are minimized

This keeps deals on track and reduces the friction that kills most petroleum transactions.

🔹 Step 5: Due Diligence & Final Verification

Before final documentation is exchanged (CI, SPA, POP, etc.), we verify one last time:

  • Readiness of vessel, tanks, or product
  • Buyer’s updated financial position
  • All compliance documents are in order (NDA/NCNDA, IMFPA, KYC, etc.)

We also ensure that all intermediaries are accounted for and protected in the IMFPA agreement — no surprises, no broken chains.

🔹 Step 6: Deal Closure & Documentation Oversight

Once all preconditions are satisfied, we oversee final contract issuance (SPA or CI), confirm signatories, and ensure all required compliance clauses are inserted and executed properly.

Throughout closing, we:

  • Monitor contract milestones
  • Coordinate LC/SBLC or payment instrument issuance
  • Confirm tank lift, injection, or shipping readiness
  • Guide both parties to physical or financial settlement
  • Secure commission payments for intermediaries post-deal

We do not disappear after the match — we manage the entire process through to execution and fulfillment.

Why This Process Matters

Because in this industry, one bad link can destroy an entire chain.
Because too many deals fail due to disorganization and unverifiable claims.
Because your time and credibility deserve better than guesswork.

Our process isn’t just a workflow — it’s your first layer of protection in a global industry that moves fast and punishes mistakes.
